  • BOOKEEPER/OFFICE MANAGER

    Position Summary: Manages a variety of general office and finance activities by performing duties personally or through subordinate employees. Works closely with the General Manager and leadership team to deliver excellent support to clients, staff, vendors, and subcontractors. Essential duties and responsibilities include the following:

    Office Management

    • Design and maintain central filing systems of company records, optimize operational procedures, order supplies and equipment.

    • Ensure outstanding correspondence: 1) Sustain positive communication and relationships with clients, staff, and suppliers. 2) Lead clear and efficient process for handling incoming and outgoing mail (USPS, UPS, etc.).

    • Assist with new employee onboarding and forms.

    • Co-manage company supply inventories and other general office duties.

    • Be proficient with Microsoft Office 365, QuickBooks Online, QuickBooks Timesheets and other programs.

    • Identify opportunities for workflow process and office management improvements, and design and implement new systems, and help to lead positive changes in these areas.

    Finance

    • Provide payroll projections, support processing of payroll, and complete payroll taxes and workers compensation reporting.

    • Manage accounts payable, accounts receivable, deposits, expense reporting, and assist with cash-flow decisions.

    • Sustain accuracy, expense class tracking, and appropriate internal controls for A/P, A/R, deposits, charge cards, and personnel records.

    • Maintain (and report on) forecast schedule for receivables from different divisions.

    • Complete monthly bank / other account reconciliations and financial reports for leadership team

    • Assist with budgeting process and tracking.

    • Contact past due clients and request payments.

    Communication

    • Report to and work with the General Manager and other leaders.

    • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.

    Other Duties: assist in limited capacity as needed with Nursery, Sales, Quotes, Design, Landscaping, and Habitat Restoration projects.
